Engine oil: 4.7L

Engine Oil is 4.7 Litres which is 5 quarts. Gearbox oil you just fill till its up to the hole.

The engine should be warm when measuring oil. The capacity is 5 quarts which comes to 4.7 litres. Oil filter takes in abit but wouldnt be 300mls worth.

i thought the engine should be cold and left overnight so that the oil would be all in the sump

Checking when warm will not account for the oil pumped into the upper parts of the engine and could result in overfilling.

So in general when checking oil, it should be done when the engine is cold?
